The last mile is a memory problem wearing a sales costume

Five columns, no more

What kills pipelines here is not persuasion failure. It is forgetting: the warm reply never followed up, the next step that lived in your head until it did not. Every column beyond these five is a reason the sheet dies.

The staleness rule:any pursue-band lead untouched for more than ten days gets flagged, because staleness is invisible until it is flagged, and flagged staleness becomes Monday’s first next step. Statuses are five, fixed: new, warm, proposed, converted, closed. A status list that grows is a taxonomy hobby, not a pipeline.

Three moves, no theatre

Warm inbound is a person who already trusts your thinking, arriving mid-thought. The method’s whole job is to not break that state.

Move one

Answer generously

Whatever they asked, answer it fully, as if no pipeline existed. The same generosity the content ran on, continued in private.

Move two

Ask one real question

One question you actually want the answer to. Not a discovery checklist. Three questions is an intake form; one question is a conversation.

Move three

Propose when earned

The call gets proposed when the conversation has earned it, not one exchange before. The threshold is precise, and it is in the guide.

What the guide adds, plus the sheet itself

PDF and pre-built tracker · one gate

The columns and the method above are complete and yours. The download is the execution depth:

  • The tracker pre-built: five columns, band and status dropdowns, and the staleness flag that colours the row automatically
  • The weekly fifteen-minute ritual, in order, and the honest floor for when it has been skipped three weeks running
  • Reply structures for the three common openings: "been reading your stuff", the vague inquiry, and the direct ask
  • Why the direct ask gets proposed to immediately, and the warm-release-with-referral it deserves when fit is zero
  • The earned threshold for proposing a call: three conditions, all required
  • The proposing shape, and why two concrete times beat a scheduling link at exactly that moment
  • The standing checklist and the honest time ledger

Fair questions

Why would I track a pipeline in a spreadsheet in 2026?

Because the alternative most personal brands actually run is memory, and memory loses to a spreadsheet every week of the year. A five-column sheet with a protected fifteen minutes beats an unconfigured enterprise tool and costs nothing. When the sheet starts straining, that is a real signal, and the guide's closing page is honest about what it means.

Is the conversation method just soft selling?

It is not selling at all, which is the point. Senior inbound arrived because your content did not sound like a salesperson; the conversations cannot start sounding like one now. The method is the content's generosity continued in private, with a precise threshold for when proposing a call stops being pressure and starts being service.

Does the tracker file require any particular software?

Any spreadsheet application that opens xlsx files. The dropdowns and the staleness colouring work in the common ones; if yours ignores the formatting, the columns and the formula still do their jobs, and the guide specifies everything needed to rebuild it by hand in an hour.

What happens to my email address?

It receives the guide and tracker immediately and, occasionally, other playbooks from this series. Nothing is sold, shared, or drip-fed. One click ends it, and the link is in every email.
